Why are changes not allowed for team travel meets?

Hotels and transportation are pre-booked months and months ahead of the meet to hold spaces for our team. Then depending on the number of qualifiers for the meet, a budget is calculated and sign-up forms are sent home approx. month before the meet. It is very important to return these forms with the deposit cheque by the due date because we must confirm the arrangements with bus companies and hotels. Once the hotel rooms are finalized, it is almost impossible to make changes because many other swim clubs are booking rooms at the same hotel.


How are the costs determined for team travel meets?

A budget is established considering:

· the number of swimmers attending and the age range

· the number of chaperones and coaches attending

· the number of days required

· the destination and mode of transportation

· the quality of accommodation and the number of people per room

· the food plans

How are the chaperones chosen?

At the beginning of each season parents/guardians complete a purple Volunteer form indicating their areas of interest for volunteering. The Team Travel Manager contacts everyone who expressed an interest to offer volunteer opportunities. All potential chaperones must complete a Police Screening prior to chaperoning their first away meet.
If the swimmer signs the Code of Conduct at the registration, why there is also a Rules and Etiquette form required for Team Travel?
The Rules and Etiquette form describes the specific expectations of each swimmer when traveling away to a swim meet and the consequences for misconduct. The expectations are designed for safety and to ensure that our Club and community are well represented by our swimmers. We find it most effective to have each swimmer and their parents review the Team Travel rules immediately prior to traveling.
